BYWC Reception

What you will do ...

  • Welcome visitors warmly; manage sign-in/out and direct them to the right service/room.
  • Handle the front phone/WhatsApp: answer queries, take messages, schedule or confirm appointments.
  • Keep the reception area tidy; oversee waiting-area flow, water station, and noticeboard updates.
  • Maintain the daily schedule with the Centre Lead; flag clashes or late changes.
  • Support basic admin: print/copy small jobs, stock stationery, track petty cash log (if applicable).
  • Discreetly manage sensitive walk-ins (GBV/mental-health) by alerting a designated staff member.

You will be good at this if ...

  • Are friendly, unflappable, and professional in person and on the phone.
  • Keep accurate notes, spell names correctly, and protect privacy.
  • Bonus: prior front-desk or hospitality experience.

Supervision

  • Centre Lead (weekly 1:1). Daily huddles for schedule review.

Key Outputs

  • Clean visitor log; accurate daily schedule; timely messages; tidy, welcoming reception.

Safeguarding & Conduct

  • No sharing of client info; use first names in public areas only; follow visitor badge policy.

Success Looks Like

  • Visitors feel welcomed and oriented; fewer missed appointments; smooth daily flow.

Training & Tools

  • Front-desk SOP; phone/WhatsApp etiquette; appointment sheets; sign-in templates.

Standard Requirements

  • Eligibility: 18+, good conduct/police clearance certificate, 1 character reference (former teacher, employer, someone who can vouch for you).
  • Induction: Safeguarding, code of conduct, role-specific training, site tour.
  • Hours: Typically Mon–Fri; occasional Saturdays for events. Schedules agreed weekly.
